<p>Email tracking sounds invasive until you see the mechanism, at which point it becomes almost disappointingly simple. There is no software on the recipient's machine and no connection to your mailbox. There is one image.</p><h2>The mechanism, step by step</h2><ol><li>You paste a snippet into your draft. It is an ordinary image tag pointing at a URL that ends in a unique key.</li><li>You send the email. The image is not attached; only the link to it travels.</li><li>Your recipient opens the message. Their mail client sees the image tag and asks our server for that file.</li><li>Our server notes the time, hashes the requesting IP address, records the browser string, and returns a transparent one-pixel image.</li><li>Your dashboard shows a receipt.</li></ol><p>That is it. The email itself is never touched again after it leaves you, and the tracker never has access to anything except requests for its own image.</p><h2>What is stored, precisely</h2><p>A timestamp. A one-way hash of the IP address, which lets us tell two different openers apart without ever holding an address we could look up. A user-agent string, which is how the device type is worked out. Nothing else, because nothing else is ever sent to us.</p><blockquote>A tracking pixel cannot read a message for the same reason a doorbell cannot see inside your house. It only knows that somebody pressed it.</blockquote><h2>Why mail providers get in the way</h2><p>Gmail and Outlook proxy remote images through their own servers before showing them to you. The request we receive comes from a data centre rather than a person, which is why a proxied open has a reliable time and an unreliable location. Apple Mail goes further and fetches images in advance, whether the message is ever opened or not.</p><p>This is a good thing for privacy and an annoying thing for accuracy, and any tool that pretends otherwise is selling you certainty it does not have.</p><h2>How to read a receipt properly</h2><p>Treat the timestamp as solid, the open count as good, the device as probable and the location as a bonus that is often missing. Treat silence as silence. That is the honest reading, and it is still far more than you knew before you sent it.</p>

<p>Every email tool reports an open rate. Almost none of them explain that the number is an estimate built on a single fragile assumption: that your reader's software loads remote images. When that assumption holds, the number is useful. When it does not, the number is quietly wrong in both directions.</p><h2>What is really being counted</h2><p>An "open" is one HTTP request for a one-pixel image. That is the whole mechanism. It is not a measure of reading, attention, or intent. It is a measure of an image loading, which usually happens because a human opened a message, and sometimes happens for reasons that have nothing to do with a human at all.</p><h2>The two ways it goes wrong</h2><p><strong>Undercounting.</strong> Corporate mail gateways strip remote images as a security policy. Plenty of individuals block them too. Those readers are invisible to every tracker on the market. If you sell to enterprises, a meaningful share of your most important readers will never register an open.</p><p><strong>Overcounting.</strong> Since Apple introduced Mail Privacy Protection, Apple Mail prefetches remote images whether or not the message is ever opened. Those prefetches look exactly like reads. If a large part of your list is on Apple Mail, your open rate contains a number of opens that never happened.</p><h2>So what is it good for?</h2><p>At the level of a single email to a single person, an open is a strong positive signal and a non-open is close to meaningless. That asymmetry is the whole trick. Use it that way.</p><ul><li><strong>Trust a green tick.</strong> Something loaded your image. In one-to-one email that is almost always your reader.</li><li><strong>Ignore a grey tick.</strong> It carries no information. Never write "they did not read it" in your CRM.</li><li><strong>Compare against yourself, never against a benchmark.</strong> Published averages are computed across wildly different audiences and clients.</li><li><strong>Prefer clicks when the stakes are high.</strong> A click is a deliberate human act. An open is a request from software.</li></ul><h2>A better question</h2><p>Instead of "what is my open rate", ask "how long did it take this person to open it, and how many times did they come back". Those two numbers survive all of the problems above, because they only ever describe the people who did register, and they describe them precisely.</p>

<p>A follow-up sent three days later is a calendar reminder. A follow-up sent twenty minutes after someone opened your proposal is a conversation. The difference is not persistence, it is timing, and timing is the one thing a read receipt actually gives you.</p><h2>Why the twenty minute window matters</h2><p>When somebody opens your email, they are holding the context. They know what you are asking, they have just formed a first reaction, and they have not yet filed the decision away. That state does not last. By the next morning they have read forty other things and your proposal is a vague memory of something that needed thinking about.</p><p>Arriving inside that window is the difference between "as discussed" and "just checking in". You are not nagging, you are continuing.</p><h2>Read the pattern, not the ping</h2><p>One open tells you it arrived. The shape of several opens tells you what is happening on the other side.</p><ul><li><strong>One open, then nothing.</strong> They skimmed it. Your subject line worked and your first paragraph did not.</li><li><strong>Two opens, minutes apart.</strong> They read it and went back to check a detail. Something specific caught them, usually a number.</li><li><strong>An open, a long gap, then a cluster.</strong> They forwarded it. The cluster is a second person, often the one who decides.</li><li><strong>Repeated opens over days.</strong> It is stuck. They want to say yes to something and cannot work out what.</li></ul><h2>What to actually send</h2><p>Do not send "just following up". Send the thing that unblocks the pattern you are looking at. A cluster of opens around a proposal usually means a pricing question nobody wants to ask first, so ask it for them. A forward means a new reader who never got your context, so give them a two-line summary rather than the original thread.</p><blockquote>The goal of the second email is not to remind them you exist. It is to remove whatever the first email left unresolved.</blockquote><h2>The trap</h2><p>Open data makes people twitchy. If you reply within ninety seconds of the tick turning green, you have told your recipient that you are watching them, and that is a worse feeling than being ignored. Wait. Twenty minutes reads as coincidence. Two minutes reads as surveillance.</p>
